What we process and why

• Business contact: if you write to us by email or WhatsApp, we process your name, contact details, and message content to reply and manage the business relationship (basis: pre-contractual measures, GDPR art. 6.1.b).
• WhatsApp demo: conversations with our demo agent are logged to provide the service and evaluate its quality (basis: consent and legitimate interest). The agent identifies itself as AI from the first message.
• WhatsApp messages: we only message you on WhatsApp if you have given us your number and your consent (for example, by writing to us first or by booking an appointment). We only send notifications related to what you requested: appointment reminders, quotes, documents to sign or reports. You can stop receiving messages at any time by replying STOP in the chat or by writing to hola@soldbychat.com.
• Browsing: visits are measured in aggregate, anonymously, with Cloudflare Web Analytics, without cookies. In addition, if you accept them in the cookie notice, we use Google Analytics 4 (analytics) and Google Ads (advertising), loaded through Google Tag Manager: Google receives your IP address, your browser, the pages you visit and, if you arrive from a Google ad, the click identifier, and stores in your browser the cookies listed in the cookie policy. Basis: your consent (GDPR art. 6.1.a), which you can withdraw at any time from "Cookie settings" in the footer of every page. If you do not accept, Google writes no cookies on this site and only receives technical pings without cookies, sent before you choose: your IP address, time, browser, the full address of the page you visit (which, if you arrive from a Google ad, may carry the click identifier) and the referring page. Google Ads discards that identifier until you accept; Google Analytics may receive it as part of the address. Google LLC may process this data in the United States; it is certified under the EU-U.S. Data Privacy Framework.
• Web chat with Sol: on soldbychat.com/empieza/ you can open a chat with Sol (our AI agent, which identifies itself as such). The chat runs on Chatwoot, hosted on our own servers in the European Union (chat.soldbychat.com), and loads only when you press "Chat web". What you write there is processed as a business contact (basis: pre-contractual measures, GDPR art. 6.1.b) and kept like demo conversations. When you open it, Chatwoot stores a conversation identifier in your browser so you do not lose the thread when changing page or coming back (see cookie policy).
• "Empieza" page form: if you leave your name and WhatsApp number (and, optionally, your email, sector and a message), we process them to reply (GDPR art. 6.1.b). Only if you tick "I accept that Sol writes to me on WhatsApp" will Sol send a first message to that number (basis: your consent, GDPR art. 6.1.a, which you can withdraw by replying "para" or STOP in the chat). If you do not tick it, we contact you ourselves through the channel you gave us.
• Advertising measurement: if you arrive from a Meta ad (Facebook or Instagram) or a Google ad and contact us (form or chat), we process the ad click identifier (fbclid; gclid, wbraid or gbraid for Google), the campaign parameters in the URL, your IP address and your user agent to learn which ad works. The Google identifier is stored with your request on our server, which does not send it to Google (in the browser, Google only receives it as described under “Browsing”). The Meta data, together with your email address and phone number (if given) protected by an irreversible hash (Meta never receives them in the clear), is sent to Meta from our server through their Conversions API. Basis: legitimate interest in measuring the effectiveness of our advertising (GDPR art. 6.1.f); you can object by writing to hola@soldbychat.com. There is no Meta pixel or script on this site: the transfer to Meta happens on our server after you contact us, never while you browse. (The only advertising scripts on the site are Google's, which load with everything denied: without your consent they neither write nor read cookies on this site, although they do receive the cookie-less technical pings described in "Browsing"; with it, they store and use the data detailed there.)

Where data is hosted

Data is hosted on servers within the European Union. The exceptions are the browsing data Google receives (the cookie-less technical pings sent before you choose and, if you accept its cookies, the rest; see "Browsing"; Google LLC may process them in the United States) and, if you use WhatsApp, what WhatsApp/Meta processes under its own privacy policy.

Video meetings

If we meet over Google Meet, we may record and transcribe the call to prepare your proposal and the minutes, with your consent: we tell you at the start and you can decline before recording begins. The transcript and summary are kept with your file for the duration of the relationship, and you can ask for a copy or for deletion. The original recording (audio and video), if any, is kept in our Google Workspace (servers in the European Union) only for as long as it takes to produce the transcript and the minutes, and is deleted no later than 30 days after the meeting.

Retention

Business contact data: for the duration of the relationship or until you request deletion. Demo conversations: up to 12 months.

Your rights

You may exercise access, rectification, erasure, objection, restriction, and portability rights by writing to hola@soldbychat.com. EU residents may also lodge a complaint with their supervisory authority.
